Administration Specialist

A global Japanese Finance company is currently looking for suitable candidates for the position Administration Specialist is a great opportunity of the Administration position for capable candidates, who wants to work international team. If you have 1-2 years experience in Administration field and knowledge of English and German fluent level, do not hesitate to apply for this position.

 

Administration Specialist

Work place: Frankfurt a/Main


Administration tasks (40% of the work)

1. Stationary order Ordering of stationary and create Purchase Order Form

2. Send and receive all envelopes

• Couriers – On a daily basis prepare the courier bags for OCS and any other adhoc items.

• Mail distribution

3. Maintain papers, toners of printers and water

• Maintain printed stationary

• Kitchen supplies up-to-date (e.g. coffee, tea, water cooler, etc.).

4. Contact with reception of this building

• Liaise with Building Management – Meet and greet the visitors and ask them if they would like refreshments. Up-date staff lists, Up-to-date fire warden lists.

• Book conference room

5. Secretary work

• Checking supplier’s invoices relating to office supplies

• Send and receive ROA(Request of Approval) and file it

• Arrange booking of Hotel for General Manager or colleague from Tokyo

 

ISMS (20% of the work)

1. Maintain relevant papers of ISMS

• Keeping relevant documents(more than 20) up to date(Stamp, Key, Personal belongings, Confidential list, Information list, Software list, Emergency dial flow chart, Password change etc.)

• Keeping employment manual up-to-date

2. Contact with partners

 

Systems support (20% of the work)

1. Support existing and future Cooperation Partners and Licensees

• Supporting communication with our Systems Department and European Headquarters

 

Homepage/Website Content Management (20% of the work)

• Translate English content for German website into German

• Update content in coordination with respective department of Headquarter

• Translate German content into English if necessary
